Task 1 Describe how you would control and coordinate this project In order to control and coordinate a project successfully it is important to know what is considered a successful project. This will be defined by the project sponsor but generally a successful project will be one that is: • delivered as promised • completed on time • delivered quality • achieved its original purpose • met all stakeholders expectations In order for the project manager to successfully control and coordinate the project sufficient planning and procedures need to be put in place. Essential project manager tools used to coordinate the project include: • The project definition document. This document describes the project purpose, objectives, success criteria, and scope statement. According to Horine (2009) the most essential elements necessary to control and coordinate a project are PDA (Prevention, Detection and Action). • Prevention- The best way to keep the project on track is to prevent (or minimise) variances from occurring. They key to this is an effective plan, effective communication, continuous monitoring, delegation of work and resolving issues efficiently. • Detection- Project control should detect variances immediately. The sooner variances are detected the quicker alternative actions can be taken. The key to early detection is to have monitoring systems in place that allow for timely measurement of project results.
