Unit 208 – Use a diary system Outcome 1: Understand a diary system 1.1 Explain the purpose of using a diary system A: Time is very important and it can be utilised in a very efficient way by maintaining a diary system. The efficient planning and organisation of my own time and other people’s is an effective and highly important responsibility to undertake. It can ensure that no appointments are missed, deadlines are met and you generally know where people will be if you need to contact them urgently. Reminders can be set and meetings arranged without actually speaking with someone to organise it. The diary can be used on the computer on G-mail or Outlook or on a hand held device. Some people still used written diaries however this is less used now as technology takes over us. 1.2 Describe the different types of diary system A: There are a few types of diary system that are commonly used. The first one being an actual diary book in which appointments are recorded. The layout can be: One page per day Two days per page One week to view Two weeks to view Considerations to be made when choosing which layout best suits you, your Manager or your office in general is how many entries are likely to be made in one day. If it is a really busy office then the one page per day would be the better option. A huge dis-advantage of this system is that the diary has to stay in the office so if differing people would like to make entries, they would have to ring into the office if they are out to check that the time of their appointment is convenient. A wall planner can also be used. These are usually large laminated charts in which holidays of the staff are plotted so everyone in the office can see when they are off or each other or when it suits the office for them to be off. It can help organise the staff to ensure that the office is continuously manned
