Use Office Equipment 1. Identify different types of equipment and their uses There are different types of office equipment used within my office, the main ones are: Computer: The computer is used for many processes which include work related tasks on the internal Compucare system, like storing all patient information and creating and processing invoices. The word programs on the computer are used to type up notes and minutes and to produce reports and communications, while spreadsheets are used to to keep accounts mostly on the various hospital bodies who the Independent Hospital have contracts with. I have used all these processes on the computer in my workplace but i also know the Sage program is used within my office to keep account records which i have only briefly used. Computers also allow access to the Internet, which provides both internal and external communication tools in the form of email, and allows access to websites such as Bupa (which is one of the health insurance companies) for more investigation into questionable invoices. Printer: The printer is used to print out documents, letters and invoices which can be sent to various bodies and kept for our own records. As well as storing information on the computer electronically the printer allows us to keep a paper record. Telephone: The telephone is used to make and receive phone calls. A more personal way to communicate than an email and more instant as questions and answers can be asked/given instantly as the conversation flows. Fax Machine: The Fax machine is not used very much within my workplace but is used when a document or letter needs to be sent so the recipient has a paper copy. Sending a fax to several numbers can save the use of ink and paper for your company. Shredder: The shredder is used to shred important documents, letter or invoices which are sure to include
