A. Prepare before the meeting The first thing to do to prepare for a meeting is to make sure that all the information is organized. The second thing to is to make sure there is an set agenda in advance to make sure you gave yourself plenty of time to organized everything. Make sure the objective of the meeting is clearly stated as well as making sure the people participating in the meeting knows what is expected of them. Always make sure the roles of others as well as you are properly delegated in advance. B. Participate during the meeting Participating during a meeting is an important expectation. The first important part of a meeting is making sure you start on time. Always try to make sure you get people to agree on the ground rules. During the meeting, make sure you ask open ended questions that will not be answered with a “yes” or “no” answer. Always try to restate their answers as well as recording the conversation. Try not to take the disagreement answer the wrong way and do not dominate the meeting so much that the participating parties are unable to speak their minds. C. Follow up after the meeting At the end of the meeting make sure you take the time to figure out how to follow up with a permanent record as well as an action plan. Meetings should be documented with some kind of permanent record. “Effective minutes include the issues discussed, alternatives considered, decisions reached, and action plan.” In the action plan the group should be able to reach an agreement on the action plan which may include the actions to be taken, the person in which is responsible for all of the actions, and the time frame for each action that has been
