B628 Table 2.3 Communication improvement _____________________________________________________________________ Problem identification and description: The weekly staff meetings for the department are generally very long meetings due to the size of the department and never has an agenda to go off making the meeting to be very unstructured and disjointed. This leads to loss of time due to these implications, there is never a time limit stated on the meetings and sometimes a loss of interest amongst the staff due to this. _____________________________________________________________________ Analysis: 1. The meetings can be very long as there is no time limit stated and an agenda to go of. With 25 members of staff around the table sometimes all can have something to say which doesn’t need to be brought up. 2. This can lead to loss of interest amongst the staff and sometimes-important information is not taken on board. 3. This can also lead to a loss of important information as the following week very little information can be presented due to the members of staff not willing to provide and deliver information as they don’t want a repeat of another long meeting. _____________________________________________________________________ Conclusions to the analysis: 1. No agenda seems to be the problem stating what will be discussed 2. This causes there to be a lack of structure to the meeting 3. There is no time limit stated on the meetings leaving no target for the meeting to finish by _____________________________________________________________________ Recommendations: 1. Prepare an agenda for the meetings 2. Request reports from the staff which they would like to bring up during the meetings 3. Any reports not inputted by the deadline will not be brought up during the meeting unless very important.
