Unit 501 Use and develop systems that promote communication (SHC51) 1.1 Within my job role as a registered service manager for supported living services within Clearwater Care I have to communicate with a wide range of individuals and groups of people on a daily basis. This communication will not always be face to face. It could be via the telephone, email, written correspondence which could be from writing a letter to producing a memo for the staff team or even simply writing a note in the communication book within the services. When communicating with the staff team this is heavily done through memos and face to face contact. I hold monthly team meetings, staff have six formal supervisions over a twelve month period which are scheduled to take place on alternate months, and they then also have their yearly appraisal.
Hard copy notification – staff notice board & pigeon holes. This is a standard meeting every Friday that all staff are aware of. New staff are advised as part of their induction. Any change to meeting time/date is advised as above. The company does have guest trainers attend occasionally for safety training.
HSC41: Use and Develop Methods and Systems to communicate, Record and Report. Communication is an integral part of care therefore its effectiveness to ensure that care is delivered as required and problems dealt with accordingly. It is about how people respond to each other in many different ways, thus it is an important requirement as a Team Leader that I understand and use good communication skills in order to develop relationship with individuals, relative, other professionals and staff. I provide active support by adhering to the policies and procedure for information sharing regarding individuals as stipulated by the organisation. For example, prior to admission, an assessment of the individual’s relevant long term social and medical history is carried out and documented, and all staff members have access to these records.

When having undertaken training it is important to feedback this knowledge to my colleagues to provide up to date accurate information in order for them to full fill their roles, this is shared during weekly team meetings when time has been allocated for this purpose. In sharing this knowledge and information it enables other support workers I work with to also work effectively with accurate information. If the information to share is in a document this is shared by the organisations protected emailing system so staff can access this when convenient and can reflect back on this. Training to further knowledge and practice that is relevant to my supporting role is identified during regular supervision and annual IPA’s, this enables me and my manager to identity training that is not only available but is beneficial for me as a worker and for the organisation. Training that becomes available throughout the year is shared in team meetings for staff to express their interest and apply.
An agenda would be prepared in advance of the meeting and circulated to all attendees and minutes of the previous meeting made available and reviewed during the meeting. Usually the Head of Department or Manager would chair the meeting and minutes would be taken, for future reference. Any other business would then be discussed and at which time this is an ideal opportunity for any member of staff to have their say or opinion listened to by others in the department.Annual General MeetingAn annual meeting held to update and inform members/trustees of the previous year’s activities and future expectations. Again an agenda would be prepared in advance of the meeting and circulated to all attendees and minutes of the previous AGM made available and reviewed during the meeting and notes would be taken and minutes prepared for future reference. Supporting documentation would also be made available at these meetings, such as company accounts and financial documentation.
Supervisions are regular, between myself and my manager. They are designed to help improve the way I work, they offer practical and guidance and support in areas that I need to improve. After supervisions are the appraisals. They evaluate what was covered in the supervisions to make sure that improvement is occurring and to set new goals. My supervisions are taken on shift, my manager will watch how I work, how I integrate with the team of staff and with the clients in the care home and put forward any ideas on what I could do differently but also explain what I am doing well.
