Keeping records is a fundamental part of teaching. Not only is it an essential element of the teaching cycle, it is also a legal requirement in some aspects. A teacher cannot properly plan, teach, assess and evaluate without access to well maintained and accurate records. Records are required from the first moment a learner makes contact with the college, throughout their time in education and even after the learner has left, for a period of a few years. Not only are records vital to the daily running of the college, but are often required by outside bodies for various reasons i.e. parents/employers requiring progress information, and Government institutions such as Ofsted requiring statistics on success, attendence etc. Perhaps the main and obvious record which is kept is the register. This is a legal document which states who is in attendance or not. It also becomes a vital tool in scenarios such as fire drills, checking for students left in the building. At the initial interview information about the student is gathered such as personal info, qualifications and any background issues. This information becomes the student file and is added to on enrolment with their student ID card number, login details etc. During the learners stay at college various checks are made on their progress and these are recorded. All exams and assignments completed are noted on tracking sheets, this information can be reviewed at progress review meeting with learners or at parents’ evenings. Learner’s individual profiles are kept in the course file. This details ILP’s, skill builder results and any other personalised information on the learners.
