The cost of not being able to find or share the captured knowledge can be extremely high. It is important that once the knowledge is created and captured, it is easily shared. The knowledge sharing at organizations should enable employees to access in various forms and consult with knowledgeable experts about difficult problems, avoid mistakes, get a second opinion or discuss important issues.
Organization should facilitate creating several types of Community of practice that promote tacit knowledge exchange through out the organization. Loosely managed communities are formed based on various needs. Once these groups are identified, a facilitator is appointed and employees will be encouraged to meet on regular basis. Communities would also be created on-line that facilitate members to communicate via chat or search previously recorded information on-line.
Organization should create program of inviting retired experts to contribute 10 to 20 percent a week as knowledge enablers makes these communities a success. For the virtual communities that meet on-line, experts could be available once a week on-line to discuss and analyze issues. These discussions are archived and available for all to search for similar situations. For complicated issues that would require several hours of brainstorming and exercises, Community of practice can organize workshops.
Virtual tools like instant messengers (IM) and desktop sharing tools have been in use at several organizations and have proven to be highly efficient and cost effective. These tools are very helpful and come in handy for quick clarifications and sharing tips. Instead of having to refer to lengthy manuals and documentations, one can easily contact peers for resolution. The IM tools also provide ways to form groups and set alerts, further enhancing the usability.
