SPECIFICATION

Introduction

Newlands Girls School is a comprehensive secondary school in Maidenhead, Berkshire teaching GCSE and A levels to girls from the surrounding area, as well as some 6th form boys as part of a Consortium arrangement with other local secondary schools.

As well as teaching curriculum-based subjects the school also offers a wide range of extra curriculum activities, including areas such as science, dance, sport and drama. These are taught outside of normal school hours and whilst having some funding from the school often have to charge for people to come and watch performances to cover the costs of buy equipment and materials, as well as hiring in of expensive technical equipment. With school budgets remaining tight it is important that staff are able to predict in advance of the costs that they are likely to incur and the money they are likely to make from ticket sales so that they can assess whether it is going to be a viable option, or whether the ticket prices are suitable so that they make the money but are not too expensive to discourage people from coming to the events.

At the moment an ‘off the cuff’ solution is used to solve this situation. Staff use their experience and knowledge to try to estimate what income and outgoings there are going to be. With some events being performed over days with over 7 different performances being completed this can become a very complicated and time consuming process to try to assess what the costs are going to be and whether the event can be supported. Many calculations are performed on paper, with the risk of mistakes being made, as well taking time to produce a completed write up as the head teacher requires written evidence of the prediction so that they are able to make a decision, ensuring that school funds are available to meet the costs.
